Administrative Assistant – Technology Executives

About the Role

The Administrative Assistant will provide high level administrative support to executives and nonexecutive team members within the Technology organization. This role requires exceptional organizational skills, professionalism, and the ability to manage a wide range of responsibilities with discretion and independence.

Responsibilities

  • Serve as the primary gatekeeper for executive calendar management and prevent scheduling conflicts

  • Coordinate business travel (domestic / international), meeting logistics, and complete expense reports for executives and their direct reports

  • Prepare correspondence, reports, presentations, agendas, and meeting minutes using Microsoft Office applications

  • Coordinate office activities, team lunches, meetings, and related events

  • Organize and run quarterly Town Halls via Microsoft Teams and Teams Live Events

  • Collaborate with large teams to create newsletters

  • Build organizational charts using Microsoft Visio or other tools

  • Develop PowerPoint presentations for Town Halls and various business events

  • Compile and report engagement metrics for newsletters, town halls, and other communications to inform executive stakeholders

  • Organize company “Cares” community engagement events

  • Plan and coordinate off-site meetings and team‑building events for 100+ attendees

  • Design visually engaging PowerPoint slide templates

  • Assist with drafting and distributing executive organizational announcements

  • Manage ordering swag for employees and corporate events

  • Demonstrate a high level of motivation, energy, and cross team collaboration

Requirements

  • 3–4 years of related administrative support experience

  • High school diploma required; associate degree preferred

  • Advanced knowledge of Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook)

  • Excellent time management and priority setting skills

  • Strong attention to detail and problem-solving abilities

  • Exceptional written and verbal communication skills

  • Strong organizational skills with the ability to multitask effectively

  • Ability to exercise discretion and independent judgment

  • Capable of analyzing and managing complex information requests

  • Highly adaptable and flexible in a dynamic environment

Preferred Qualifications

  • Experience supporting executives at the director, VP, or C‑suite level

  • Familiarity with enterprise systems (collaboration tools like Teams or SharePoint)

  • Familiarity with AI tools (M365 Copilot)

  • Experience in project coordination or cross-functional support

U.S. National Base Pay Range: $59,200 - $98,600. Geographic differentials may apply in some locations to better reflect local market rates.
